Toolbox

Is switching worth it, or do I keep paying licence fees for an off-the-shelf product that is now retrofitting AI? Am I allowed to use the tool under my regulatory constraints, and does it fit my size? Every profile answers these questions, with a source and a check date on every statement.

A tool goes in when we use it ourselves, have replaced it, or have examined it in client work. We update this page at least every two weeks.

What the filters mean

Search

Searches name, vendor, cluster and the sentence describing the problem.

Area

Six areas where tool decisions fall inside a software or services company: product & engineering, content & web, service & support, GTM & sales, operations & finance, governance & security.

Role

  • Off-the-shelf product: You buy it and use it.
  • Build tool: You build with it.
  • Building block: You build out of it.

Origin

  • Established: On the market for years, without notable AI features.
  • Established, AI retrofitted: On the market for years, AI added later. The design still comes from before that.
  • AI-native: Built around a model from the ground up. Usually younger, so staying power is the more open question.

Verdict

  • Creates an edge: The edge holds even when competitors catch up: data compounds, switching gets expensive, or every new user makes the thing better for everyone.
  • Prevents falling behind: Having it puts nobody ahead. Not having it puts you behind. The effect runs one way, and every tool in this class has alternatives.
  • Strengthens the core product: It acts directly on what you earn your money with, so on the product itself or on the process that delivers it.
  • Efficiency only: It saves time or money in one place. It does not move your position in the market.

Company size

Whether a tool fits your size is rarely decided by features. It is decided by the price floor, the setup effort and whether anyone is there to run it. Suitable, suitable with caveats and not suitable are given per size in the profile, with reasons.

Storage location

Whether the data can sit in the EU. "No vendor storage" means there is no vendor processing data, because the software runs on your own machines or locally.

Data processing agreement

Whether a data processing agreement is available. "Not applicable" means no customer data is processed on your behalf, so an agreement would have nothing to cover.

Frequently asked questions about the toolbox

Buy, switch or build: how do I decide?

On three questions every profile answers: who stands behind the vendor and what does leaving cost? Am I allowed to use it under my regulatory constraints? Does it fit my size? Every profile puts the off-the-shelf product, the AI-native product and building it yourself side by side, with advice per company size.

What does the verdict "Prevents falling behind" mean?

Having the tool puts you nowhere ahead. Not having it puts you behind. The effect runs one way only. Every tool in this class has alternatives, so it is not an obligation but a category of effect.

How should I read the traffic light on regulation and data?

It rates how well a point is evidenced. Green: documented, no condition. Yellow: documented, tied to a condition. Amber: documented, but unfavorable. Red: open on a point that decides whether you can use it at all. We set the scale per area.

What does "DPA not applicable" mean?

No customer data is processed on your behalf, for instance because the software runs on your own machines. A data processing agreement would have nothing to cover. That differs from "DPA unclear", where it stays open whether the vendor offers one.

How current is this information?

Every factual statement carries a source and a review date, shown at the statement and in the source list at the foot of the page. Where a source is missing, we say so instead of guessing.

Why are there no stars and no scores?

A score about a named company could not be evidenced. Each tool therefore carries a plain-language verdict, suitability by company size and an evidenced finding on regulation. We do not forecast a vendor's solvency.
