Chargebee

Chargebee Inc., North Bethesda (Maryland), contracting entity ·www.chargebee.com· As of: 2026-09-03

Holds subscriptions, price book, usage metering, invoice runs, tax and dunning in one system, and reports back to the product through an API which customer is entitled to which feature.

Work through this tool with an AI

Our verdict

The billing system co-determines which pricing models a product can offer at all. A company that cannot meter usage, carry credit balances or enforce entitlements keeps selling seats, even when the market wants to pay by consumption. That is why this tool sits closer to the core product than to back office: price book, meters and entitlements reach into what the customer sees and buys. It creates no edge. Competitors buy the same system and get the same models, often from the same vendor. Anyone using Chargebee purely for invoicing and dunning has bought an efficiency tool and should judge it as one.

Who it fits

Solo

suitable with caveats

Entry costs almost nothing: no base fee, 0.80 percent of monthly invoiced volume. The contract mechanics weigh more. Under the terms of service a subscription runs for twelve months, renews automatically, and non-renewal requires 90 days' notice. The same terms rule out downgrading within the term.

Mid-market

suitable

The actual sweet spot. At 20,000 US dollars of monthly volume the pricing page shows 160 US dollars per month, and the vendor marks the crossover to the plan with a base fee at 66,000 US dollars of monthly volume. As long as nobody in-house wants to maintain proration, tax rates and dunning steps, this is cheaper than staffing for it.

Enterprise

suitable

It works, but the points procurement checks first sit in the top plan. The vendor describes SAML single sign-on as plan-bound, and bulk export to S3, GCS or Snowflake appears on the pricing page under Enterprise only. Then there is the contract side: the counterparty is the US entity, Delaware law applies, and disputes go to arbitration in Delaware. The EU storage region covers Billing, while the sub-processor list places RevRec, Receivables and Retention/Growth on AWS in the USA.

Buy, switch or build

Off-the-shelf

Zuora or SAP's billing module, welded to the general ledger

The established counterpart in large enterprises is Zuora or SAP's billing module. Corporates stay there for three reasons. Billing hangs off the general ledger, the auditor has already signed off revenue recognition once, and a switch means touching every running contract term again. Zuora itself has been owned by Silver Lake and GIC since 14 February 2025, taken private for USD 1.7 billion; for buyers that means an owner with a return plan in place of a listing with quarterly numbers. Neither publishes a list price, so any comparison runs through quotes.

AI-native

Orb, Metronome or Lago, built from the meter outwards

The younger generation starts at the usage event and builds billing around it. Orb lists three tiers and writes Custom Pricing against each; the vendor names billings and events as its yardstick, the same yardstick Chargebee uses, only without a figure beside it. That is the real price difference: Chargebee publishes a percentage, the challengers publish nothing. Lago takes the other route and is open under AGPLv3, with self-hosting free of licence cost. What you give up is breadth. Tax determination, dunning steps, cancellation flows, revenue recognition and quoting are already built in Chargebee and would otherwise have to be sourced and wired one by one.

Build it yourself

Meters and invoice run in-house, payments and tax bought in

The serious build-it-yourself route takes Lago under AGPLv3 or your own tables for contracts, prices and meters, puts Supabase underneath, lets Stripe handle payments and tax determination, and hangs n8n on the dunning chain; the building is done with Claude Code or Cursor. The assumptions are a day rate of 1,100 euros and 45 to 70 person-days for a first viable version covering plans, proration, invoice runs, dunning steps and an entitlements API, plus running operations and on-call. That holds as long as there is one pricing model, one legal entity and one country. It breaks in the second year: the e-invoicing mandate changes the format, revenue recognition has to survive an audit, a second country brings a second tax logic, a second tenant brings data separation, and whoever wrote the proration logic now works somewhere else. The AGPLv3 belongs in front of your own legal team early, as soon as the billing system hangs off the product.

Our advice

  • Solo: Do the maths, then sign. The percentage is small, the twelve-month commitment is not.
  • Mid-market: Buy, and look closely at the plan boundary before the modules get added.
  • Enterprise: Buy and negotiate Enterprise, with single sign-on, bulk export, choice of law and the training question on the list.

Cost of leaving: High

The export exists, the state does not travel with it. Customers, subscriptions and invoices come out through the API. What stays behind is the arithmetic history: proration on plan changes, credit notes, credit balances, scheduled changes and the meters behind usage-based line items. Two things sharpen this. Event logs reach back only 90 days according to the vendor's own documentation, so anyone who does not stream them out continuously loses traceability before the migration even starts. And bulk export into your own storage appears on the pricing page under Enterprise. On the payments side, card data for part of the gateway connections sits in Spreedly's vault, so a switch runs through a third party. Contractually there is the twelve-month term with 90 days' notice, multi-year terms renew automatically for the same duration, and after termination the data stays retrievable for 120 days.

Entry price

Two published variants in the Flow plan: 0.80 percent of monthly invoiced volume with no base fee, or a 99 US dollar base fee plus 0.65 percent. What gets expensive

In three places. First the yardstick: the price hangs on your own invoiced volume rather than on how much you use the tool. At the top of the published scale, 500,000 US dollars of monthly volume, 0.65 percent is already 3,250 US dollars a month, and above that there is no list any more, only a conversation. Second the modules: CPQ beyond the first 50 quotes, RevRec, Receivables and Growth are separate contracts, open only to Billing customers, and carry no public price. Third the plan boundary: single sign-on, multi-entity management, advanced access controls and bulk export sit in the Enterprise plan, and those four are exactly what a larger procurement function asks about first. Anyone who needs them negotiates individually anyway.

What it displaces

  • Your own tables for contracts, prices and renewals
  • Separate dunning runs alongside the payment processor
  • Manual revenue cut-off in a spreadsheet
  • Hand-maintained entitlement lists inside the product

Interfaces

  • API for subscriptions, invoices and usage events
  • Event notifications into your own systems
  • Checkout and customer portal as an embedded overlay or a redirect
  • Entitlements and usage limits pushed back into the product
  • Bulk export to S3, GCS or Snowflake in the Enterprise plan

Matching methods

  • Value Metric PricingThe chosen value metric has to be countable, invoiceable and enforceable inside the product, and that is exactly what decides whether a billing system can carry it at all.
  • Good-Better-Best PricingCutting three packages is a pricing decision, but it only takes effect in the price book and the entitlements; otherwise it stays a slide.
  • Net Negative Churn (Bootstrapped)Expansion and involuntary churn both run through billing: upgrades with proration on one side, failed payments and dunning steps on the other.
  • Spread / Take-Rate EconomicsChargebee is itself priced on this pattern, as a share of the customer's invoiced volume, and so demonstrates what the mode does to the buyer's own cost curve.
